Build a Better Broker Book – Why Your Database is the Hidden Goldmine in Your Broking Business

Building a better Broker Book

At Vision’s October 2025 Mentor Workshop, broker marketing expert Deena Shoobridge shared 20+ years of insights into what separates forgettable brokers from those who build thriving, high-trust, high-referral businesses and therefore a better broker book.

In a market where 75% of borrowers now use mortgage brokers, the competitive edge no longer lies in access or service alone, it lies in your database.

Deena commenced Your Client Matters 20+ years ago and helped hundreds of brokers with their strategies around client acquisition, retention and engagement.

Here are some takeouts from the session.

Why Your Database is More Valuable Than You Think for Your Broker Book

Each person in your database represents potential lifetime value, anywhere from $20,000 to $100,000 depending on property cycles, referrals, and longevity.

Failing to capture, nurture, and engage that contact means losing not just a client, but potentially years of income.

The Biggest Mistakes Brokers Make with Their Database

  1. Waiting until they have a ‘big enough’ list before communicating.
  2. Focusing only on the next deal—ignoring settled clients
  3. Being too scared or uncertain to ask for referrals.
  4. Assuming friends and family won’t use or refer them.

These common errors result in significant dollars in lost opportunity over a broker’s career.

Database Growth: The Fastest Path to More Loans

Deena challenged brokers to build a list of 200 people in under 30 minutes, drawing from:

  • Immediate and extended family
  • Friends and their networks
  • Social groups (gyms, schools, sports teams)
  • Past workplaces and colleagues
  • Their partner’s networks
  • Clients’ accountants, solicitors, and agents

By the end of the challenge, many brokers had uncovered 50+ potential contacts they weren’t engaging at all. If each name is worth even $20k, that’s a $1 million future income stream sitting idle unless you engage it.

Quality Communication Starts Now

Don’t wait to build the perfect list—start nurturing now. Email marketing, SMS check-ins, and simple outreach scripts can all keep you top of mind. The best results come from brokers who:

  • Send regular updates, newsletters, or rate alerts
  • Use birthday or settlement anniversaries as touchpoints
  • Follow up bounced emails and update records proactively

Referrals Don’t Just Come From Clients

You don’t need someone to use your services to earn referrals from them. Many people are happy to refer brokers, even if they’re not ready to borrow.

Stay visible, useful, and trustworthy.

Modern Tools vs. Timeless Tactics

While AI and digital ads promise the world, Deena’s advice was clear: organic, face-to-face networks is still a winning formula.

  • Coffee shop chats, community events, and social groups beat cold SEO.
  • Pick up the phone—don’t just rely on emails and socials.
  • Use automated marketing *only* when you have something of value to say.

ALWAYS Be Collecting

Every person you meet should be captured, categorised, and communicated with. Get permission, be compliant, but don’t hold back out of fear. Without contact, you have no opportunity. With contact, you unlock compounding growth.

Ready to Level Up Your Broker Book?

Whether you’re just starting or scaling, make database growth and communication your #1 priority. A bigger, better-nurtured database means more business, more stability, and more referrals—now and for years to come.

The Cost of Doing Nothing

Many brokers underestimate the cost of inaction. If you’ve settled 50 clients and aren’t staying in touch, you’re at risk of losing not just those clients, but also every referral, every refinance, every upsizing moment.

Deena’s formula was clear: each name you forget is thousands in lost income (realistically tens of thousands). And worse, those clients will use another broker who IS visible and consistent.

Make it Easy for People to Refer You

Most brokers assume that people will refer when the time is right, but without prompting, they won’t. Deena recommends:

  • Send a helpful guide (first home buyers, refinancing checklist, investor tools)
  • Ask for feedback on it.
  • Include a line: ‘If you know someone who might benefit, feel free to forward this on.’

Referrals aren’t always about asking directly. It’s about giving people tools they’re proud to share.

Smart Technology vs. Shiny Objects

The workshop also included a frank assessment of popular tools:

  • Facebook Ads and Google SEO: Often high-cost, low-return unless you have a robust system and budget.
  • AI tools: Overhyped and under-tested.
  • CRM + Email + SMS + Social Suite: The best option for most brokers. Keep everything connected and consistent.

Compliance and Communication Permissions

Getting started doesn’t mean ignoring the law. Brokers must comply with the Spam Act and privacy laws. Deena covered:

  • Implied vs. express permission
  • Using SMS to request email addresses (‘Hi [Name], I’ve got a free guide you might like. What’s the best email to send it to?’)
  • Always offering opt-outs, especially when using bulk email systems
  • Using LinkedIn and SMS respectfully for outreach

Your CRM is Your Business

Whether you use Infynity, Trello or a spreadsheet, it’s vital that you:

  • Update bounced emails monthly
  • Tag contacts correctly (client, prospect, referrer, etc.)
  • Record every conversation, trigger, or interest point
  • Schedule future contact tasks—even if it’s just a birthday SMS

Neglect your CRM and you’ll watch your database decay. Use it well, and you’ll generate leads passively and predictably.

It’s Not Just About You—It’s About Their Network

Each person in your database knows 200+ other people. When they think of finance, property, or ‘who do you use for your mortgage?’, you want your name to come up. That only happens with consistent presence, quality information, and genuine relationships.

This is why even clients who left you—or didn’t use you in the first place—should remain on your marketing list (with permission). Their situation may change. Or they may refer someone who becomes your best client ever.

Measuring Your Marketing ROI

If you spend $300/month on a CRM and marketing program, and you write one extra loan every quarter because of it, that’s over $10,000 in revenue on a $900 spend.

Track what works:

  • Open rates
  • Clicks/downloads
  • Replies and referrals
  • Settlements sourced via your marketing

These numbers won’t lie—and will motivate you to keep going when response feels slow.

Final Thought: Start Before You’re Ready

You’ll never feel 100% ready to start marketing your database. But as Deena said, it’s not about perfection. It’s about visibility.

You can simply start with:

  • 10 names
  • One email a month
  • One SMS follow-up

Then build from there. In 12 months, you’ll have 500 people on your list, dozens of engagements, and a measurable difference in your business performance.

Thanks to Deena

The group was highly engaged throughout and grateful for Deena’s energy and experience.  Thanks Deena!
